Based in Paris, we are looking for a highly organised and motivated experienced Gallery Assistant to work with the Paris gallery team. As our Paris gallery opened only 18 months ago, it’s a very exciting time to join us, to support an exceptional programme of the highest quality.

In this role, we are looking for a multi-talented person to join the and provide day-to-day support for our gallery activities: openings, events, group visits, hotels and accommodation for guests, management of the space and third-parties supporting our activities. This full-time position requires first and foremost that you speak French every day, and that you have already worked in a gallery, art institution, or museum in Paris. The knowledge of the Parisian is indeed crucial, alongside an excellent attention to detail, proven organisational skills, diplomacy, and excellent communication skills; you will be the first point of contact with visitors, artists, and clients, and we will look to develop you as opportunities for you to learn arise.

The role is Tuesday to Saturday, and Monday to Friday when the gallery is closed to the public for changeovers.

Responsibilities include but are not limited to:

Front Desk

  • Participate and assist with the day-to-day activity of the Front Desk and Operations teams.

  • Collaborate closely with the Gallery Manager in organising operations.

  • Meeting and greeting visitors, clients, and colleagues, at all levels.

  • Shared responsibility for opening and closing the galleries.

  • Take incoming calls and messages, checking voicemail, relaying details to colleagues.

  • Managing the Gallery’s email accounts and re-directing/responding as appropriate.

  • Organising and collaborating with different departments to arrange internal events and

  • working with third parties for external public events.

  • Support Front Desk team during gallery events, including previews, book readings, product launches, artist talks, and seminars as required.

  • Maintain database contacts.

  • Ensure all client-facing spaces and meeting rooms are well organised and stocked.

  • Maintaining supplies of stationery and equipment.

  • Potentially assist colleagues in welcoming guests for meetings, including catering.

  • Processing orders and reconciling invoices.

  • Making reservations, booking travel for staff on and off-site and arranging shipments.

  • Handling incoming and outgoing mail and shipments.

  • Booking couriers and be the point of contact for all incoming and outgoing items.

  • Stock management, inter-gallery shipments, and archival library referencing.

Job Requirements

  • 2-3 years’ experience in a similar front-facing role. We have flexibility to adapt and increase responsibilities for candidates with a stronger experience.

  • Very strong knowledge of the Parisian art scene.

  • Impeccable French writing skills in writing and conversations.

  • An undeniable passion for arts, and our artists and programme, with a will to share your passion with others at all times.

  • Fluent English to interact with international visitors and liaise with other locations at Hauser & Wirth.

  • Flexible schedule with some evenings and weekend availability.

  • Proficient in Microsoft Office and Apple applications including Sharepoint, Teams, Outlook, Word and Excel.

  • Excellent communication skills, both written and verbal. Additional languages are desirable.

  • Ability to multi-task with shifting priorities in a fast-paced environment.

  • Must be a progressive learner, organised, detail-oriented, and professional.

  • Approachable, diplomatic and adaptable to changing demands and deadlines.

  • Able to build rapport, trust and excellent working relationships with all colleagues in a multicultural, multinational work environment.

  • Ability to work in high-energy, high expectation and team oriented global culture.

  • First Aid and Fire Warden qualified desirable but not mandatory.
